Who is responsible for your information
ADC Locksmith Liverpool Ltd is the data controller for the personal information described in this policy. The company is registered in England and Wales under company number 15482296, and the registered base is 17 Escott Road, Speke, Liverpool L24 0AB. Craig Evans runs the business and handles every enquiry personally.
Questions about this policy or about your information go to Adclocksmithltd@outlook.com or to 07731 544220.
What information is collected
The information collected depends on how you get in touch and on the job you book.
- Calls and WhatsApp messages: your name, phone number, the location of the vehicle, the vehicle make, model and registration, a description of the problem, and any photo of the key that you choose to send.
- The contact form: your name, phone number, email address if you give it, your area, the vehicle make, model and registration, and the service you need.
- Proof of ownership: before a key is cut or programmed, the V5C registration certificate or an equivalent document is checked against photo identification, so that keys are only made for the owner or an authorised user of the vehicle.
- Job and payment records: the work carried out, the price, the date and the invoice details.
- Website use: the pages viewed, the device and browser type, and the approximate location derived from the IP address, collected through Google Analytics and through the form plugin that records which pages were visited before a form is sent.
Why the information is used
- To quote for and carry out the job you ask for. The legal basis is the contract with you, or the steps you ask for before a contract is agreed.
- To confirm that the person asking for a key is entitled to it. The legal basis is the legitimate interest of the business and of vehicle owners in preventing vehicle theft.
- To request protected manufacturer security data. When a key job needs this data, the vehicle details, such as the registration and the vehicle identification number, are used to request it through the authorised SERMI route. The legal basis is the contract with you.
- To keep accounting and tax records. The legal basis is the legal obligation of a UK limited company to keep business records.
- To understand how the website is used and to stop spam form entries. The legal basis is the legitimate interest of the business in running a working, secure website.
Personal information is never sold, and it is not used for marketing messages unless you ask to receive them.
Who the information is shared with
Information is shared only with the services that the business needs to operate, and only for the purposes above.
- The website hosting provider, which stores the website and the contact form entries.
- Google, which provides Google Analytics, the reCAPTCHA spam check on the contact form, the map on the contact page and the Google reviews shown on the website.
- WhatsApp, when you choose to send a message through it.
- The email provider that receives contact form messages and quotes.
- The SERMI scheme and the vehicle manufacturer, when protected security data is needed for your key.
- An accountant and HM Revenue and Customs, for accounting and tax records.
Some of these providers may process information outside the UK. Where they do, they are required to protect it under UK data protection law, for example through approved contract terms.
How long the information is kept
Job, invoice and payment records are kept for six years from the end of the financial year they relate to, because UK company law requires business records to be kept for that period. Enquiries that do not become a job are deleted within 12 months. Website analytics data is kept for the period set in Google Analytics, which is never longer than 14 months.
